About COLT

Colt is a multinational telecom and IT infrastructure company headquartered in London. With one of the largest independent fiber networks across Europe, Asia, and North America, it delivers high-bandwidth connectivity, voice services, and cloud integration to enterprises and wholesale customers. Its portfolio spans enterprise internet, private networks (MPLS, SD-WAN), SIP trunking, and direct cloud connectivity to AWS, Azure, and Google Cloud.

Colt engaged Centelli to automate manual porting response handling, which slowed service delivery and consuming valuable staff time.

The Challenge

The voice team manually processed losing-operator responses for port-in requests across five countries. The workflow was fragmented and prone to errors: Monitoring emails, faxes, and local systems for operator responses , Validating phone numbers, providers, and port-in dates  Updating order statuses in the online system. Handling country-specific exceptions and conditions

This manual approach was:

Repetitive and time-consuming

Inconsistent across regions

Prone to missed updates or human error

Limiting staff capacity for higher-value activities

Manual response checks consumed staff time and caused delays and error risk.

Our Solution

Centelli built and deployed a Digital Worker trained to automate losing-operator response handling across five countries.

Its capabilities included

Checking country-specific systems and inboxes daily for operator responses

Identifying accepted vs. rejected requests and updating statuses in the order system

Validating key details (numbers, port-in dates, provider info)

Applying country-specific rules: 1). Italy → sends explanatory rejection emails 2). ES, DE, AT → marks orders rejected in the system 3). BE → resubmits where applicable

Results Delivered

Before Automation

The process was fully manual and varied by country.

After Automation

The Digital Worker processes ~4,000 orders per month, saving nearly 135 staff hours

Clear outcomes include: 1). 5× output compared to manual processing  2). Negligible errors with country-specific exception handling  3). Timely customer communications, reducing escalation risks  3). No delays from staff absence, leave, or holidays

Action Center handles inconsistent fax and email formats seamlessly.
